How to Generate Insights from Responses with Artificial Intelligence

Yay! Forms allows you to generate insights from form responses with the help of Artificial Intelligence. This article will help you understand how to generate insights in the Results area and how to use chat mode to request specific AI-generated reports based on your needs. Generating insights from form responses 1. Access the form you want to generate insights from. 2. Inside the form, click the "Results" tab and then the "Insights" tab. 3. Choose the Field you want to generate insights for. 4. Click the "Generate insight" button. 5. In the popup, choose the period and the type of insight you want to generate, then click the "Generate insight" button. In a few minutes, the insight will be available on the screen for you. Generating insights using chat mode You can also generate insights using chat mode. In it, you can ask the artificial intelligence chat to generate specific reports based on what you request. Suggested questions to ask the chat Here are some suggested questions you can ask the chat: Qualified Lead Capture - What are the main objections, problems, and pain points of the leads? - Which leads showed the highest purchase intent? - What do leads expect from the solution being offered? - What are the most used words in lead responses? - What is the leads' stage of awareness regarding the problem? - Which segment or niche appears most frequently in the responses? How to View Your Responses in the Inbox

This article will help you access your form inbox, view and filter submitted responses, download a selected response, show only complete responses, and delete responses when needed. Accessing the inbox from your form results First, to access your inbox and check your responses, simply take a look at the results page of your form and click the Inbox section, as shown in the image below: Viewing and filtering responses in the inbox Inside the inbox, on the right, you will find all the responses provided by the user. On the left, there is a list of responses for you to select the one you want to view. In addition, on the left side, there is an option to filter by field to make your search easier, as shown in the image below: Downloading a selected response You can download your selected response by clicking the Download button, as shown below: Showing only complete responses If you want to view only complete responses, click Show only complete responses as shown below: Deleting a response You can also delete a response by clicking the Delete response button in the upper-right corner of the selected response, as shown in the image below: ☝️ Keep in mind that deleted responses cannot be recovered. Make sure you delete only the responses you no longer need. How to Use Yay! Forms’ Kanban/CRM

This article will help you understand what Kanban is and how to use the Kanban/CRM view in Yay! Forms to organize form responses, manage stages, assign owners, configure card details, and apply filters for better workflow tracking. Introduction to Kanban Kanban is a visual management method created in Japan by Toyota, used to optimize processes and bring clarity to the workflow. The main concept is to divide tasks into stages and represent them on cards that move between columns. This brings benefits such as: - Clearly visualizing what needs to be done, what is in progress, and what has already been completed; - Improving task organization and prioritization; - Reducing bottlenecks and identifying where the process can be optimized; - Increasing team collaboration. In Yay! Forms, Kanban is used to organize the responses received in your forms. You can: - Create custom columns to represent your team’s flow; - Move responses between columns as progress is made; - Assign team owners to each response; - Add labels, quick links, and comments. This way, Yay! Forms Kanban works as a mini-CRM, helping you turn responses into an efficient follow-up workflow. How to access Kanban in Yay! Forms 1. Access the desired form. 2. Go to the Results screen. 3. Click the Kanban/CRM tab. Kanban columns - By default, you will have three initial columns: To do, In progress, and Done Create new columns - Click the “+” button to add a new column. As in the example below, it was named Column Move responses between columns - Click, hold, and drag a response to the desired column. This was the result: Reorder columns - Click, hold, and drag the column to the desired position. Rename columns - Click the column name and change it as you prefer. Delete columns - Click the three dots on the column and select Delete stage. - Important: you can’t delete columns that contain responses. Assigning owners to responses - In each card (response), you can assign a team owner: just click the “+” button inside the card and select who will be assigned. This helps organize who will take care of each response. Kanban settings Click the gear icon to access settings: Field visibility - Lets you choose which information appears on each card. - You can show or hide fields and variables. Important notes: Auto-assignment applies to new responses that arrive in the form. You can enable/disable profiles at any time (stopping/resuming distribution to that person). Even with auto-assignment, you can manually reassign a card to another member whenever you want. Custom links - Add quick links inside each card (e.g., open WhatsApp, email, or an external CRM). - To add: click Add, fill in the name and URL in the modal. Keep in mind that you can use form responses as variables in the link—for example, using an answer that captures the phone number or email. Just use the same mention function. Labels - Create and manage labels to visually categorize cards (e.g., High priority, New lead, Customer, Urgent). Labels on cards - To add labels to a card, go to Labels and select the desired label as shown below. Comments - You can add comments to your cards so that you and your collaborators can view them. ☝️ Keep in mind that comments appear for all collaborators who have access to the form. Note: Please note that if the user has the Facebook Pixel integration and moves a card to another column, a custom event with the column name will be automatically sent to Facebook.
